- •Brand documents you upload to teach the Engine your brand voice (such as PDF, TXT, MD, PPTX, or XLSX files)
Information from platforms you connect (the Engine):
- •When you connect a website, CMS, code repository, or document platform, we access and store the content and data needed to run the Engine - such as page content, posts, and files
- •Access credentials and tokens for the platforms you connect (for example GitHub, WordPress, HubSpot, Webflow, Contentful, or Google), stored securely server-side and never exposed to your browser
- •Content, drafts, and technical changes the Engine generates for you
Information collected automatically:
- •Basic usage data (pages visited, features used)
- •Technical data (browser type, device type) for optimization
- •Cookies for essential site functionality
2. How We Use Your Information
- •To provide our AI brand analysis service
- •To operate the Engine: to draft content and prepare technical changes on the platforms you connect, at your direction
- •To learn your brand voice so generated content matches your brand (scoped to your own brand; not used to serve other customers)
- •To respond to your inquiries and support requests
- •To send important service updates and notifications
- •To improve our service based on usage patterns
- •To ensure security and prevent fraud
3. Sample Reports & Free Analysis
- •When you request a free sample analysis, we collect your email and company website
- •We use this data to generate and deliver your sample report
- •We track basic analytics to improve our service
- •No payment information is collected for free samples
- •You can request deletion of your sample data at any time by emailing support@brandviz.ai
4. AI Crawler Tracking (Optional Integration)
If you connect your hosting platform (e.g. Vercel or Cloudflare):
- •We receive request records for your website: the URL path, timestamp, AI crawler user-agent, HTTP status, response size, and referring site
- •We only store records identified as AI crawler or AI-referral traffic — ordinary visitor traffic is discarded on arrival and never stored
- •Visitor IP addresses are cryptographically hashed on receipt and never stored in raw form
- •Query strings are removed from URLs before storage, so tokens or personal details contained in links are not retained
- •We do not receive page content, form data, cookies, or request headers beyond the user-agent and referring site
Retention, location and roles:
- •Individual request records are deleted after 30 days; only aggregate counts per page, per crawler, per day are kept beyond that
- •This data is stored in Australia (Sydney) and is not shared with AI model providers
- •You remain the data controller for your website visitors' data; we act as your processor and use it only to provide this feature
- •Disconnecting the integration stops collection immediately and removes the log drain from your hosting account
5. Who We Share Data With
We don't sell your data. We only share with:
- •Cloud hosting and database providers that run our service
- •AI model providers, used as one component of generating the brand analysis and Engine drafts you request
- •Payment processing (Stripe) and transactional email providers
- •Product analytics providers, to understand how features are used
- •Legal requirements: If required by law or to protect our rights
- •Business transfers: In case of merger or acquisition (we'll notify you first)

How the Engine uses AI providers:
- •When the Engine drafts content or technical changes, it processes your website content and any documents you provide, using third-party AI providers as one component of that process
- •We send only the content needed to perform the task you requested
- •These providers operate under commercial API terms that prohibit using your data to train their models. We are not responsible for the independent acts of third-party providers
- •Your content is never used to serve other customers, and you can disconnect any integration at any time to stop this processing
6. How We Protect Your Data
- •All data is encrypted in transit using HTTPS
- •Credentials and access tokens for platforms you connect are stored securely server-side, are never exposed to your browser, and can be revoked by disconnecting the integration
- •Access is restricted to authorized personnel only
- •Regular security reviews and updates
- •Secure third-party services for processing
- •We never sell your personal information

You have the right to:
- •Access your personal data we hold
